The Mountain Software Practice Management System was one of the first totally integrated solutions to hit the market place several years ago. The user base heavily influences Mountain Software's development plans and additions have been added to the software at the instigation of the clients using the product. The creation of clients and matters will automatically create the corresponding entries in the accounts and the relevant fee earner support modules. This avoids duplication of input. The fully implemented Practice Management System will increase staff productivity, allow better use of time, provide more accurate information to market the Practice more effectively and improve profitability. An entry at one point of the database updates all areas of the database simultaneously. Time enquiries can be made from any screen. CLIENT DETAILS Basic Client Information is entered onto the system through the Client Screens. As the details are entered the system performs and automatic "Duplicate Client" check, Conflict of interest check and "Phonetic and 1st line of Address" check. Only five fields need to be completed at which point the system will allocate a client number e.g. D0001. All the rest of the client information can be added as and when it is available - by anyone with access to the system. Other details include previous name and address and salutations for envelope and letter (to be used in automatic document production), client specific notes, password for on-line web enabled report enquiries, list of all matters etc. There is also an indicator to show the number of deeds and wills held for the client. Supplementary information may be held such as Date of Birth., NHI number, Ethnic Origin etc. used amongst other things for the automatic generation of LAFQAS reports such as "Average Case Cost with Variance Analysis", In today's competitive environment the success of a Practice depends not only on its legal prowess but also on its acute business acumen. Traditionally, emphasis was placed exclusively on the quality of the legal services provided. However, with ever escalating overheads, increased competition, the demands of Practice Management Standards (ISO 9001, Investors in People, LAB Franchise, LEXEL, LAQAS) the requirement for improved efficiency in the administration process has become more and more pressing. There are also a number of screens used to record marketing and financial services information. Letters can be addressed and printed automatically from the client screens speeding up document production. As you would expect, the client screens are fully integrated with the accounting system and provide access into the accounts (with the appropriate password), matters, wills and deeds modules without the need to close the screen down and opening up another. MATTER DETAILS Matter specific information is entered onto the system through the Matter screens. When "Other Side" or "Witness" details are entered the system automatically performs a "Conflict of Interest" check. Only four fields need to be completed initially at which point the system will allocate a matter number in the range 001 - 999 for the client (each client can have 999 matters). The system also allocates a 6-month costs review date which places an entry into the fee earner diary and sets up the default accounts information for the matter. All the rest of the matter information can be added as and when it is available - by anyone with access to the system. Old client/matter reference numbers can be stored and reported on as part of the matter information. The Unique File Number is entered automatically by the system for Criminal matters and may be utilized by the Block Contracting module to automatically complete and generate the CDS6, CDS7 and CDS11 forms. General file reviews can be set up as matters with direct links to the central Fee Earner diaries. Key-dates can also be set up in the same way. When a matter is opened and identified as Legal Aid, details are attached in the appropriate screens to build a fuller picture of the matter to enable integration with the accounts system and the Mountain Software Criminal Billing module. At the touch of a button the accounts enquiry screen provides a view of the accounts ledgers and the time ledger for the fee earner - all of which is reportable. Fee earners can generate electronic posting slips (Chitty's), which are authorised by supervisors and cashiers for before automatic posting to the ledgers. Automatic document completion and production, user definable Case Management Agendas and links to the integrated diary are all available as standard, with automatic time recording if required. Fluid access into the accounts, and all other modules is achievable without the need to close down one screen and open up another. CENTRAL DIARIES Entries in the diaries can be made whilst in the diary screens. Additionally, entries can be created whilst in the matter screens. These can be as file reviews, key-dates, limitation dates and appointments. Entries can be placed in multiple fee earner diaries simultaneously if required. The document production system available in the PMS or any of the Fee Earner Case Management Modules can also put automatic entries into the diary. Full reporting functionality is available to allow effective management control of the diary systems. Also included is a calendar offering variable viewing options. The Mountain Software Central diary is included within the user license price of the Practice Management System. It provides total integration with all areas of the Mountain Software Suite.
